How to: Create and Manage File Tags in August Schools

File tags in August Schools help your organization organize, control, and automate document management. Tags make it easier to categorize files (like consent forms or medical records), define who can access them, and even set automatic archiving rules to keep your system clean and compliant.


Who Can Manage File Tags

Only users with the SysAdmin role can create, edit, or delete file tags. This ensures that your tagging system stays consistent and secure.


How to View and Edit Existing File Tags

  1. Navigate to Settings → Instance Settings.

  2. Select File Tags from the menu.

  3. You’ll see a list of all existing tags — including both pre-built August tags and any custom tags created by your organization.

  4. To find a specific tag, click the search icon and type its name.

  5. Click Edit next to a tag to modify:

    • User Roles (Internal Visibility): Determines which internal users can view files with this tag.

    • Person Roles (External Visibility): Controls who can view the tagged files in the external portal.

    • Auto-Archiving Rules: Set automatic archiving after a defined time period (e.g., 3 months post-upload).

Tip: To remove a file tag, click Archive.
If you need to restore an archived tag later, go to the Archived tab at the top and restore it with one click.


How to Create a New File Tag

  1. Click Add New.

  2. Enter the Tag Title (for example, Winter Break Consent Form).

  3. Adjust:

    • User Roles – who can view and manage the files internally.

    • Person Roles – who can see the files externally through the portal.

    • Auto-Archive Settings – optional: set how long files with this tag remain active before archiving.

  4. Click Confirm to save.


Using File Tags

Once a tag is created and visible, it can be applied to new or existing documents throughout the platform. Tags can be used for quick filtering, permissions management, and automated cleanup.
