Sticky Notes are a simple but powerful way to keep your team aligned without needing meetings, emails, or separate documentation. Whether you’re flagging something important, leaving a quick update, or setting a personal reminder, Sticky Notes ensure key information is always visible, right where you need it most: the student card.
This feature is especially helpful for:
Sharing quick updates across teams
Highlighting important student context
Keeping personal reminders without cluttering records
Reducing back-and-forth communication
How to create a Sticky note
Navigate to the Sticky notes tab
Click Create Sticky Note
Enter your note content
Choose a visibility setting (see below)
Click Save
Once saved, the note will appear directly on the student card.
Visibility options
When creating a Sticky Note, you can control who sees it:
Global (All users)
Visible to all users on the platform at your school (excluding family and faculty portal users)Within Role
Share with specific roles (e.g., nurses, counselors)Personal (Only me)
Private note visible only to you—great for notes to self
💡 Tip: Use “Global” for important, widely relevant updates and “Personal” for quick to-dos or follow-ups.
Editing & managing Sticky notes
You can edit or archive a note after creation
Only the creator, a manager, or a sysadmin can make these changes
Archiving notes
Archiving removes the note from the student card
You can toggle “Show Archived” to view past notes
Hovering over an archived note shows who archived it and when
You can unarchive at any time to restore it
Pinning important notes
Want a note to always stay at the top?
Click the pin icon on a Sticky Note
Pinned notes remain at the top of the list
All other notes appear below in chronological order from newest to oldest
💡 Best practice: Pin high-priority or time-sensitive notes so they’re never missed.
Quick access from anywhere
If you’re working in another area (like the Encounters tab) and want to jump to Sticky Notes, click the link icon. This will take you directly to the Sticky Notes tab
Tips & best practices
Keep notes short and actionable
Use role-based visibility to avoid unnecessary noise
Archive notes once they’re no longer relevant to keep things clean
Pin only what’s essential to avoid clutter at the top
If you've been using tags to store longer notes, you can transfer them over to sticky notes for a simpler view
If you would like to disable Sticky notes for your instance, your SysAdmin can do so under Settings > Instance settings > Presentation settings
