When a practitioner leaves your school or changes roles, making sure their information is properly transitioned to a new practitioner ensures continuity of care for students. With bulk reassignment, you can filter down to all encounters assigned to that person, select them all at once, and reassign them to a new practitioner in a single action, including adding a new assignee and removing the old one simultaneously.

Step-by-step instructions:
Step 1: Filter to the encounters you want to reassign
Go to the Encounters History page
Click the All filter bubble to make sure you're viewing all encounters, not just a subset
Use the filter options to narrow down to the practitioner whose encounters you want to reassign (filter by their name as the assigned practitioner)
Step 2: Select all encounters
Once filtered, use the checkbox at the top to select all encounters shown
If there are multiple pages of results, make sure to select "Select all pages" — not just the current page — so no encounters are missed
💡 Tip: Always check the total count of selected encounters before proceeding so you know how many will be affected.
Step 3: Bulk reassign
With encounters selected, the Bulk Actions button will appear, click it
Select Reassign encounters from the dropdown
In the reassignment panel:
Add the new practitioner you want to assign these encounters to
Remove the departing practitioner if you want them fully unassigned
Click Apply changes, then Confirm
💡 Tip: You can also use this to simply add a second practitioner to encounters without removing the original, useful if encounters need to be co-managed during a transition period.
Best Practices
Do this as soon as you know a practitioner is leaving to keep records tidy and ensure encounters are actively managed
Use the date filter alongside the practitioner filter to reassign encounters from a specific time window if needed
If you're splitting a departing practitioner's caseload across multiple people, run separate bulk reassignments for each new assignee
