Overview
When documenting an encounter in August Schools, you can upload supporting files such as doctor's notes, forms, or photos using the Attachments tab. Once uploaded, these documents stay connected to the encounter and flow to the student's card for easy access later.
This article walks practitioners through how to upload a file to an encounter, set its visibility, and find it again.
Why attach files to encounters?
Keep everything in one place: supporting documents live right alongside the encounter they relate to
Control who sees what: use tags to share a document with other users or keep it private to you
Find files quickly: access documents from the encounter itself or from the student's card
Part 1: Upload a file to an encounter
Open the encounter you're documenting and go to the Attachments tab.
Click Upload Files.
Click and drag your file into the upload box.
(Optional) Select a File Tag for the document.
(Optional) Set an Expires At date and a Dated At date for the document.
Click Add Documents.
Your document will now appear under the Attachments tab of the encounter.
Understanding the upload fields
Field | What it does |
File Tag (optional) | Determines who can see the document. Set a tag to make it visible to other users, or leave it empty to keep it visible only to you. |
Expires At (optional) | Assigns an expiration date to the document (e.g., a medication authorization that is valid for one school year) |
Dated At (optional) | Records the date associated with the document itself (e.g., the date a doctor's note was signed) |
đĄ Tip: If you want other users to see this document, we recommend setting a tag. If the document should stay specific to you, leave the File Tag field empty.
Part 2: Make sure the document reaches the student's card
Always add the Subject to the encounter. This is what connects the document to the student, so it flows to their card. Without a subject, the attachment will only live within the encounter.
Part 3: Find the document later
You can access an uploaded document in two ways:
From the encounter: open the encounter and click the Attachments tab.
From the student's card: open the student's card, click the Documents tab, and select the file.
Best Practices & Tips
Add the subject first. Filling in the subject before you upload helps ensure the document lands on the right student's card.
Tag anything your team needs to see. An untagged file is visible only to you, which is great for personal notes but easy to forget for shared records.
Use Expires At for time-limited documents. This makes it easier to spot files that need to be renewed.
