Importing Student Documents

Splitting collated PDFs can be a tedious task, but August Schools offers a document importer that splits PDFs for you! This article includes step-by-step directions on how to use this feature.

Importing Student Documents

  1. Click on the Students >> Roster page.

  2. Click "Import student documents"

  3. When you open this importing page, you will see a box checked for "Split imported files automatically." This checkbox should be used when you have a single document with multiple file types or students in one.

    1. If you have a single document for a student, we recommend uploading to their student card directly.

  4. Click and drag the file you would like to import.

  5. Click "Import files."

  6. The importer will begin to run; depending on the file size, the import may take several minutes to load.
    You do not need to stay on the importer page for the import to process!

  7. Once the import has run, the status will be "Needs inspection" with a progress percentage of 95% (the last 5% being your verification).

  8. You now have the following steps to complete:

    1. Link the student to the document(s)

      1. In the "Student" column, the system will display the student assigned for each page of the document.


        If the system didn't find the student, it will display as "Unknown."

      2. To assign the student to the document:

        1. Click into the row of the page

        2. Click on the "Someone" box to type-to-search for the student's name

        3. After verifying by DOB, ID, etc. select the appropriate student to assign to the document

    2. Tag the document(s)

      1. The visibility of the document relies on the file tag(s) assigned. You can either assign tags in bulk or individually.

        1. Tagging in bulk

          1. From the Review page, check the box to select all

          2. Click the "Tag" button

          3. Choose the file tag(s) to add to all checked documents

          4. Confirm

        2. Tagging individually

          1. Click anywhere in the row to open the separated page of the document

          2. Click into the Tag box at the top of the document

          3. Select the file tag(s) to add

    3. Approve the documents

      1. Once all properties are set (student, tag, date), you will Approve the document

        1. Approving in bulk

          1. From the Review page, check the box to select all

          2. Select the "Approve" button

        2. Approving individually

          1. Click into the row of the page

          2. Select the "Approve" button

  9. Once the document(s) have been approved, they will be accessible in the student card's Documents tab by those with the appropriate visibility permissions (for the assigned file tags).
