Overview
A change log is a list of all the bug fixes, enhancements, and new features we have rolled out to all August Schools customers. The August Schools Product Team will periodically update this list as these exciting updates make their way to platform and portal users. Each update will have have a section title that is the date on which the subsequent changes were made available and socialized to customers. New Features
✨ Form Request Packet PDF Generation
Feature(s): Forms → Packets
Role(s): All with Access
Description: Users can generate a PDF export of all the existing form packets that were generated from a specific form request packet via the Forms → Packets page. This PDF export will show each form request in the packet as well as the content of their submissions. The primary use case for this export is for form request packets templates that are used for enrollment, where the user can export the contents of all enrollment form request packets at once.
New User Workflow, if applicable: To generate a PDF of form request packet submissions:
Navigate to Forms → Packets.
Click the row in the table for the appropriate form request packet template.
Select the ‘Export PDFs’ button towards the top right.
Configure how the platform should generate the PDF as needed.
Select the ‘Export’ button.
A pop-up window will show the progress of the export and provide you options for downloading the export once completed.
✨ User-Configurable Exports from the Student Cards

Description: Users can now configure the exports of one or more of the following types of information on the student record with the ability to either particularly exclude or include individual pieces of the information from a new ‘Export student’ button on the Student Card that replaces the former ‘Export PDF’ button: Conditions, Allergies, Medications, Action plans, Immunizations, Encounters, Form requests, and File uploads.
New User Workflow, if applicable: To export student data from the Student Card:
Open the Student Card.
Select the ‘Export student’ button.
Select ‘Single PDF’ to collate the information into a single PDF, or ‘Separate files’ to export the information into separate files per type of data.
Select the ‘Zip files’ checkboxes if you would like to compress the export.
In the ‘Chose data to include’ section, select the checkboxes for each of the following types of data to add to the PDF export:
Conditions
Allergies
Medications
Action plans
Immunizations
Encounters
Form Requests
File uploads
If you selected ‘Conditions,’ select the Conditions tab below and either:
Select the ‘All conditions’ checkbox to export all the student’s condition data, or
Select conditions to exclude from the export in the ‘Exclusions’ dropdown menu.
Select conditions to include in the export in the ‘Included conditions’ dropdown menu.
If you selected ‘Allergies,’ select the Allergies tab below and either:
Select the ‘All allergies’ checkbox to export all the student’s allergy data, or

Improvements to Existing Features
✨ Expanded Visibility Options for Student Groups

Description: When creating a student group, the user can now specify whether the group should be visible to just themselves, to a subset of user roles, or to all user roles. Student groups created prior to this change will be visible to the roles of the creator at the time of creation.
New User Workflow, if applicable: To set the visibility of student groups:
Navigate to Students → Groups.
Select the row for an existing student group.
Select the role(s) to which the group should be visible in the ‘Visible to’ field, OR
Select the ‘Visible to everyone’ checkbox to make the group visible to all roles.
✨ Ability to Edit Request Title, Due Date, and Standing Request Designation of Enrollment Batch Requests

Description: Users can now edit the request title, due date, and standing request designations of enrollment batch requests after the batch requests have been created. The request title and due date appear in the Portal for recipients of the batch request, and the standing request designation controls whether the recipients can create more than one submissions to each form request in the enrollment form request packet.
New User Workflow, if applicable: To edit the request title, due date, and standing request designations of enrollment batch request:
Navigate to Enrollment → Review.
Select the ‘All batches’ tab.
Locate the row for the appropriate batch request.
Select the blue ‘Edit’ button.
Update the fields as needed in the pop-up window.

✨ Improved PDF Generation Performance

Description: We have improved the performance of the generation of PDFs when users export information from the August Platform. Generation of PDF exports is now faster and consistent. These improvements resolved unexpected behavior with the length of time of this generation as well as intermittent failures.

Legal and Chosen Name Display on PDF Exports

Description: When the user exports a PDF of information from the student record, if the particular student has a legal name and a chosen name, the platform will display both the legal name alongside the chose name on the PDF. The chosen name will be in parentheses.

Description: Users can now update the standing designation of batch requests that have already been issued.

Navigate to either the ‘All batches’ tab of the Enrollment → Review page or Forms → Requests page.
Select the ‘Edit’ button for the appropriate batch request.
In the pop-up window, select or deselect the ‘Standing’ checkbox.
Select the ‘Confirm’ button.
Clarified Required Fields When Adding Timed Doses

Description: When the user is adding a student medication to the Student card, if the user adds a timed dose, the platform now correctly labels the ‘Quantity’ and ‘Inventory quantity’ fields as required with a red asterisk. Prior to this change, the platform did not display this asterisk on both fields, leading to confusion.

String Interpolation Functional on Default Packet Title, Description, and Reminder Alert

Description: When a user is creating or editing a user-generated packet on the Forms → Packets page, if the user uses string interpolation in the Default packet title, description, or reminder alerts fields, the platform will now replace the string with the appropriate information from the student record of the subject of the form request packet when viewed by its recipient in the Portal. Previously, the string was being shown.

Resolved PDF Generation Issue for Custom Form Request Packets

Description: We have resolved an issue where PDFs were not automatically generating for custom form request templates upon approval after the user designated this auto-generation on the Forms → Packets page, most commonly for a form request packet template being used as the enrollment form request packet.
New User Workflow, if applicable: To designate a form request within a form request packet to auto-generate PDFs upon approval:
Navigate to Forms → Packets.
Click the row for the appropriate packet.
Expand the section that contains the appropriate form request template.
Identify the entry for the appropriate form request template.
Switch the ‘Auto-generate pdf on approval’ toggle from ‘No’ to ‘Yes.’
In the pop-up window, select the file tag that the PDF should have in the ‘File tags’ field.
Select ‘Save.’
Resolved String Interpolation Display Issue on Custom Form Request Packets

Description: We resolved an issue where string interpolation (e.g., %{student.first_name}) used in the ‘Default packet title,’ ‘Default packet description,’ or ‘Default reminder alert’ fields on a custom form request packet template was not displaying the expected value in the Portal.

New Features
Ability to Specify Generation of PDFs from Custom Form Request Templates

Description: Users can now specify that approved submissions to a custom form request should generate PDFs on the subject’s record. The user can also specify which file tags visible to their role(s) should be placed on these generated PDFs. When submissions to form requests that use this form request template have been submitted prior to this generation being enabled, the platform will still generate PDFs for these submissions the first night after enabling.
New User Workflow, if applicable: To specify a form request template for generation of PDFs of its approved submissions:
Locate the appropriate form request template on the Forms → Templates page or within a form request packet template on the Forms → Packets page.
Click on the row for appropriate form request template on the Forms → Templates page or select the ‘Edit’ button for the form request template within the form request packet template.
Toggle the ‘Generate pdf on approval?’ button to ‘Yes.’
Select the appropriate file tags for the generated PDFs in the ‘Select file tags’ field.
Select the ‘Update’ button.
Ability to Update Due Date and Request Message on Existing Form Request Batches

Description: Users can now update the due date and request message for existing, non-Enrollment batch requests. Previously, these fields were uneditable by users after creation of the batch.

Custom Form Request Packet Report

Description: Users can generate a Reporting Report that consists of queries pertaining to the submission statuses of the form request packets that leverage the form request packet template designated as the active enrollment packet. For each form request template in the form request packet template, the platform will produce each of the following types of query:
Tally: Shows the number of form requests across packets that have a particular submission status.
Students with submitted: Shows students whose form request has been submitted.
Students with outstanding: Shows students whose form request has yet to be submitted.
Students with accepted: Shows students whose form request has been accepted.
New User Workflow, if applicable: To generate the form request packet report:
Navigate to Forms → Packets.
Select the form request packet template that is being used as an active enrollment packet.
Select the ‘Create packet report’ button.
Look for the ‘Created report!’ pop-message.

Type-to-Search Functional When Adding Form Request Templates to Form Request Packet Templates

Description: When adding additional form request templates to an existing form request packet, users can type to search for the appropriate template in addition to scrolling down the dropdown menu of options.

Toggle open the desired form group into which you wish to place the form request template.
Select the ‘+ Add form’ button.

eSchool and Blackbaud Sections Persist Two-Weeks After Inactivation

Description: When an ingested section from eSchool or Blackbaud because it is not flagged as being a part of the current academic term, the August Schools platform will inactivate the section two weeks after the start of the academic term. This extended window allows users access to these sections, as needed.

Ability to Edit and Delete Existing Provider Entries

Description: When there is an existing record for a provider on the Providers tab of the Student Card, users can now either edit or delete the record.

Open the Providers tab.
Click the blue edit button to the right of the entry.
Make the appropriate changes to the fields in the pop-up window.
Select the ‘Save’ button.
To delete an existing provider record:

Click the red trash can icon to the right of the entry.
Confirm the action by selecting ‘Yes’ on the pop-up window.
Filter and Sort Restored Boarding or Day Student Roster Column

Description: We resolved an issue where the filtering and sorting on the column titled ‘Boarding or Day’ that on the Student Roster that shows whether a student is a boarding student or day student, as designated in the student information system. Resolved Medication Administration Generation Issue with Dosage Start Date

New Features
Ability to Prevent Locking or Closing of Incomplete Encounters
Feature(s): Encounters → History

Description: There is now a new encounter setting on an instance level that can prevent incomplete encounters from being locked or closed. An incomplete encounter is one whose form template has required/mandatory fields that the user has not yet filled out and/or whose finish time has not been set. When the user attempts to lock or close such an encounter, they will receive an error message stating, “Please fill all the required fields including the finished time.” Likewise, these encounter will also not be subject to any configured auto-lock or auto-closure.
August Schools must currently activate this functionality for each instance. As such, schools and districts should reach out to their Customer Success Manager or August Schools Support Team to request its enablement.

Manager Users Create, Rename, and Archive Tags

Description: As of August 2024, users with the Manager role are the only users who can create new Student tags in the August platform. Additionally, these users can now also rename and archive existing Student tags to better control and curate the tags in use. All actions are accomplished on the new Settings → Student Tags page. Managers currently manage tags present across all roles in use in the platform.

Improvements to Existing Features
Predefined Queries for Students with Current Annual and Athletics Physical On File.

Description: Users can now use a predefined query that returns a lists of students who have at least one document with the Annual physical tag (for Nurse, Clinic aide, and Doctor) or Annual physical AND Athletics form tags (for Athletic trainer) with a current status that is dated within the current calendar year. Users may swap out the Annual physical tag for another tag visible to their role. Users may also adjust the date to a desired timeframe.
New User Workflow, if applicable: To use any predefined query:
Navigate to Reporting > Queries.
Toggle down the ‘Students’ dropdown under ‘August queries.’
Select the query for the list of these predefined queries.
View the results returned based on the predefined rules
To modify the predefined rules:
Select the Copy hyperlink.
Select the ‘Copy’ button on the pop-up window.
Adjust the rules of the copied query as needed.
Select ‘Save changes’ hyperlink to save and re-run the rules.
Additional User Roles Can Issue Batch Requests

Description: We have resolved an issue to allow users with the Counselor, College counselor, Student support team, and Learning specialist roles to issue batch requests.
New User Workflow, if applicable: To issue a batch request:
Navigate to Forms → Requests, Forms → Templates, or Forms → Packets page.
Select the ‘Create batch request’ button on the Forms → Request page or the page for the individual form request template or form request packet template accessed from the Forms → Templates or Forms → Packets pages respectively.
Complete the required and desired optional fields in the pop up window.
Select the ‘Submit’ button.
Confirm issuance of the batch request on the ‘All batches’ tab of the Forms → Request page.
Surfacing Faculty with One or More Active Faculty Designations

Description: The August Schools platform now only surfaces records for faculty who has at least one active faculty designation. Previously, the platform was surfacing all available faculty records coming from the student information system (SIS).

Resolved Error When Editing OTC Permissions

Description: We resolved an issue where an error message arose for user when editing the OTC permissions for a student via the Medications tab of the Student Card who had no previously consented OTC medications list from an Enrollment form request packet.

Resolve Error When Adding Student Medications with Incomplete Timed or As-Needed Dose

Description: We resolved an issue where the platform was retaining the previous value of the Condition type field that the user inputted when adding a condition the student record.

Additional Physical Health Users Can Approve Enrollment Form Request Packets

Description: Users with the Clinic aide, Doctor, and/or Athletic trainer roles can now approve enrollment form request packets on the Enrollment → Review page. These users will be able to see all form requests present in each enrollment form request packet.
New User Workflow, if applicable: To approve submissions to an enrollment form request packet:
Navigate to Enrollment → Review.
Select the row for the appropriate enrollment form request packet.
The platform will display the first form in the packet with a status of ‘Needs review,’ and will display a list of all forms and sections to the left alongside each form’s submission status.
Approve the form submission by either selecting the blue ‘Approve and review next [ctrl+y]’ at the bottom right of the form or typing control + y on your keyboard.
Select the ‘Next [ctrl+k]’ button at the bottom right of the form to instead move to the next form.
Select the ‘Previous [ctrl+j]’ button at the bottom left of the form to instead move to the previous form.
Select the hyperlink for a different form from the list to the left to display any other form.
Resolved Form Count Issue with Enrollment Form Request Packets
Feature(s): Enrollment → Review, Family Portal

Description: We have resolved unexpected behavior with the the form counts on enrollment form request packets in which completed packets were displaying a total number of for requests greater than the number of form requests present within the packet. This unexpected form count was keeping these completed packets in an ‘Incomplete’ status, making them candidates for reminder alerts.

New Features
Ability to Follow Up on Blank Submissions on Form Request
Feature(s): Enrollment → Review

Description: On the Enrollment → Review page, when a parent submits a form request with empty form fields, the user reviewing the submission can now issue a follow-up message on the blank fields so that the parent can resubmit the form request with information in these fields as needed.
New User Workflow, if applicable: To issue a follow-up on a blank field on an enrollment form request submission:
Navigate to Enrollment → Review.
Open the appropriate enrollment form request packet.
Scroll to the appropriate form request within the packet.
Toggle on the ‘Hiding empty field’ button.
Hover over the empty field on the submission.
Select the ‘Add follow-up question’ button to the right of the field.
Type in your follow-up message in the text box of the pop-up.
Select the ‘Send follow-up’ button.
Ability to Archive Form Request Packets
Feature(s): Enrollment → Review, Forms → Requests

Description: Users can now archive form request packets, including those stemming from an active enrollment. Doing so will remove the form from the platform on the Enrollment → Review and Forms → Requests pages as well as from the Portal of the packets’ recipients. Archiving a form request packets will not revert any information from any accepted forms in the packet.
New User Workflow, if applicable: To archive a form request packet:
Navigate to Enrollment → Review page or the All batches tab of the Forms → Requests page.
Identify the appropriate packet.
Select the ‘Archive’ hyperlink to the right of the entry for the packet within the table.
Select the ‘Archive’ button on the confirmatory pop-up window.
✨ Archiving of User-Generated Form Request Templates and Associated Form Requests

Description: On the Forms → Templates page, when the user opens an existing, user-generated form request template, they are able to archive both the template and any form requests that leverage the template. It is not possible to archive a system-generated form request template. Note: Users may need to refresh the Forms → Request page to see the entry for the archived template disappear.
Once the template is archived, it will be removed from the view and users will no longer be able to access the template
New User Workflow, if applicable: To archive a user-generated form request template:
Navigate to Forms → Requests.
Select the appropriate form request template.
Select the Archive button at the top right.
Select ‘Yes’ on the confirmatory pop-up window.
View the ‘Archived object successfully!’ pop-up and the message ‘The template and all responses have been archived’ to confirm archiving.
Archiving of User-Generated Form Request Packet Templates and Associated Form Request Packets

Description: On the Forms → Packets page, when the user opens an existing, user-generated form request packet template, they are able to archive both the template and any form request packets that leverage the template. Improved Enrollment Form Request Packet Review Experience

Description: When the user opens a form request packet on the Enrollment → Review page, the user now has an improved layout of the forms and their responses that significantly increases the performance of the page. The platform now displays a single form at a time, with the ability to move to the next form or choose a desired for from al sit of available forms.

Navigate to Enrollment → Review.
Select the row for the appropriate enrollment form request packet.
The platform will display the first form in the packet with a status of ‘Needs review,’ and will display a list of all forms and sections to the left alongside each form’s submission status.
Approve the form submission by either selecting the blue ‘Approve and review next [ctrl+y]’ at the bottom right of the form or typing control + y on your keyboard.
Select the ‘Next [ctrl+k]’ button at the bottom right of the form to instead move to the next form.

Removal of Follow-Up Button on Accepted Form Request Submissions

Description: When a user opens a single form request or one of the form requests within a form request packet, if the form request submission has been accepted, the user will no longer see the follow-up button on the form request fields.
This measure intends to avoid confusion, as the follow-up button, though previously available, intentionally does not produce follow-ups, as follow-ups are intended for soliciting more information from the recipient prior to accepting their submission. The Messaging feature is appropriate for all communications with recipients beyond the context of an unapproved form request submission.

Description: We have introduced a functionality called string interpolation on the Forms → Templates and Forms → Packets page that allows users to type in certain ‘strings’ that the platform will replace and populate with certain names when the relevant form request or form request packet is sent to the Portal. The names are populated based on the student, recipient, or instance (e.g., school/district name) relevant to the request. Platform No Longer Conducts An Automatic Recalculation When Opening an Existing Query

Description: When a user opens an existing query on the Reporting → Queries page, the platform will not automatically recalculate results based on the existing rules. Instead, the previous results from the last time the query run will be made available.
This allows the user to immediately make changes to the query rules and queue the recalculation when these changes are saved. Users can recalculate query results at any time by selecting the “Calculate” button.
Prior to this change, users had to wait for the recalculation to be automatically queued, run, and completed before being able to take actions on the query itself.

Multi-Select Question Values Visible When Creating Supplemental Request Rules within Custom Form Request Packet

User Override of Enrollment Form Status When Response Submitted In Person

New Fields in Students Queries for ‘New since start of year’ and ‘New since start of previous year’

Description: There are two new fields available when creating rules on Students queries on the Reporting → Queries page:
New since start of year: A field whose value is populated as “Yes” if the student enrolled at the school within the dates of the current school year, and “No” if not.

The “New since start of year” field is useful to find the current students who are new this year and did join the school during the current school year. The “New since start of previous year” field is useful to find the current students who are new this year, but joined the school during the previous school year.

Open an existing Students query whose rules you can edit, or create a new Students query.
Add a new rule.

Ability to Create Custom Form Request Templates and Form Request Packets

Description: The Forms feature set now has two additional features that allow users the ability to create custom form request templates (Forms → Templates) and form request packets (Forms → Packet)! These new features obviate the need to request custom form request and packet creation by August Schools.
A Form Request Template is the layout of the form request you will send out regarding (a) student(s). The template specifies what information the recipient will see and how the recipient will action on the request.
A Form Request Packet is two or more form requests sent together to a recipient for a given (set of) student(s). Instead of sending each form request out individually (and approving them individually), you can stitch them together into a single packet (and review the submissions for a given student all at once).
For both Form request templates and form packets, the user can specify which user roles should see the form request/packet and its/their responses.
New User Workflow, if applicable: To use the new Forms features:
Select “Forms” from the left navigation bar.
Select ‘Templates’ to start creating custom form requests, OR
Select “Packets” to create custom form request packets.
Self-Service Enrollment Form Packet Creation

Description: Users with the Nurse role can create and update their own enrollment form packets on the Forms → Packets page. Following the below steps will produce a copy of either our new 2024 default enrollment form request packet or the school/district-specific 2023 form request packet, if one was configured last year.
In the coming weeks, we will allow users the ability to specify this custom form request packet as the default enrollment form request packet to be shown on the Enrollment → Review page. Until then, users looking to review custom enrollment form request packet responses should do so via the Forms → Requests page.

Medication activation date: This medication will not be considered active prior to this date. Meds with no activation date will be considered active immediately. Inactive meds do not generate medication administrations regardless of the information on the dosage events.
End date: This medication will not be considered active following this date. Leave blank if you do not wish to automatically deactivate this medication.
Dosage start date: The first date this dose should be administered. Medication administrations will not generate for this dosage event prior to this date.
Dosage end date: The last date this dose should be administered. Medication administrations will not generate for this dosage event following this date.
The processes for creating and updating student medications remain otherwise unchanged.

Users with the SysAdmin role can choose which of the existing tags that have been placed on student records across the platform should be visible to faculty portal users. When the user selects the tag(s), the tag(s) will show alongside the conditions and allergies as applicable for each student on the Roster page in the portal. Please note that SysAdmins can choose from tags originating from all roles.

Auto-closure and auto-locking of encounters

Description: Encounters can be automatically marked as closed or locked after a specified amount of time has passed after a specified action on the encounter occurs. For example, encounters can be automatically marked as closed 24 hours after the encounter is opened and/or marked as locked 72 hours after the encounter was last updated.
These automated actions prevent encounters from being left open indefinitely, which prevents the editing of encounters in perpetuity and the obscuring of metrics on ongoing support (when designated by the number of open encounters at a given time).
At this time, it is possible to apply the above to:
All encounters created across all roles in your instance of the August Schools platform, OR
All encounters created just by nurses in your instance of the August Schools platform, AND/OR
All encounters created just by counselors in your instance of the August Schools platform

Description: Users with the SysAdmin role can now input the professional credentials of platform users on the Users page. The user can input the credential (e.g., Medical Doctor), the credential identification number (e.g., NPI), and the credential end date. The credential abbreviation (e.g., MD) will populate the ‘Licenses’ column on the Users table, and the information will live on the user’s record in the backend for future use.
This improvement is an important step towards facilitating additional workflows such as billing for school-based services, which often requires recognizing and providing the credential of the school-based provider. More work is forthcoming to surface these credential prefixes or suffixes throughout the platform.

Description: Users with access to the Plans feature can click a ‘Generate plans’ button to produce a PDF of the plan forms they completed. When the user selects this button, the platform will generate at least two PDFs: one PDF for each individual form that the use filled out for the plan, and one that collates all these forms into one.
This generation is particularly important for users who may need to complete more than form for a given plan concern. For example, for an accommodation concern, there may be a form to complete as part of an evaluation and another to complete to describe the nature of the accommodation(s); and both together may constitute the official accommodation plan for the student.

Student card communications | Users can now send messages about a student to other users and parents/guardians directly through the Student Card. To do so, users can navigate to the Messages tab on the Student Card to either open a new message thread or see an existing one from an encounter pertaining to the student. This also unlocks a key additional use-case: coordinating student support across August users in a single, secure surface that is saved on the student card. Messages sent at the Encounter level for a student will also show up here. Users can also attach documents to messages sent through this feature.
