How to: Charting on Staff/Faculty

Use your existing encounter templates to document visits for faculty and staff members, right from your board or their profile card.

Overview

Staff and faculty visit your office too, and documenting those visits should be just as easy as documenting a student encounter. August Schools lets you use the same encounter templates you already use for students, so there's nothing new to set up.

This video and article walk practitioners through two ways to start a faculty or staff encounter.

Why document faculty and staff encounters in August?

  • No extra setup: Use the same templates you already rely on for students.

  • One place for everything: Keep staff visits alongside the rest of your documentation.

  • Faster assignment: Starting from a staff member's card assigns them automatically.


Option 1: Start from the Open New Encounter button

  1. Click Open New Encounter. You can find this button on your board, the Encounter History page, and other pages throughout August.

  2. Select the encounter template you'd like to use.

  3. In the Subject field, start typing the staff member's name and select them from the search results.

  4. Continue your documentation as normal.

Best for: Quickly documenting a visit when you're already working from your board.


Option 2: Start from the staff member's card

  1. Click Faculty and Staff in the left-hand menu.

  2. Search for the staff member by name.

  3. Open their card.

  4. Select the encounter template you'd like to use from their card.

  5. Continue your documentation as normal.

💡 Tip: Starting from the staff member's card automatically assigns them as the subject of the encounter, so you can skip searching in the Subject field.

Best for: Situations where you want to review a staff member's information before documenting.
