August Schools integrates with Veracross to sync student rosters, demographic data, emergency contacts, and more. This guide covers the most common sync issues and how to resolve them.

A Student Is Not Appearing in August Schools
A newly enrolled student isn't showing up
Student data syncs from Veracross on a scheduled basis. If a student was recently added to Veracross, they may not yet have appeared in August Schools.
Wait for the next scheduled sync. August Schools syncs with Veracross on a nightly basis by default.
Confirm the student is fully enrolled and active in Veracross. Students in a pre-enrollment, applicant, or inactive status may be excluded from the sync.
Check that the student is assigned to a school or division that is included in your August Schools sync configuration. Students in schools or tracks outside the sync scope will not appear.
If the student should have synced but has not appeared after 24 hours, contact August Schools support with the student's name and Veracross person ID.
An existing student has disappeared or become inactive
Check the student's enrollment status in Veracross. If a student has been withdrawn, transferred, or made inactive in Veracross, August Schools will reflect that change after the next sync.
In August Schools, check the Inactive Students view — the student may have been automatically archived following a status change in Veracross.
If the student should still be active, update their status in Veracross first, then wait for the next sync or contact support to request a manual refresh.
Emergency Contacts Not Syncing
Emergency contact information flows from Veracross into August Schools as part of the student record sync. If contacts are missing or outdated:
Confirm the contact information is correctly entered and saved in Veracross. August Schools reads this data directly from Veracross — if it is incomplete or incorrectly formatted in Veracross, it will not sync correctly.
Check that the contacts in Veracross are associated with the student as guardians or emergency contacts (not just as household members or unrelated contacts). Only contacts with the appropriate relationship type are synced.
Verify that the API scope required for contact sync is enabled in Veracross. Your Veracross administrator can confirm the active API scopes. If contacts were previously syncing and have stopped, a scope may have been removed or expired.
After correcting data in Veracross, wait for the next nightly sync or contact August Schools support to request a manual refresh of the affected student records.
Student Data Is Incorrect or Outdated
Always update student information in Veracross first — demographic data in August Schools is read from Veracross and will be overwritten on the next sync if edited directly in August.
After updating Veracross, wait for the next nightly sync or contact support to request a manual data refresh.
If data appears to be consistently wrong or stale despite Veracross being correct, this may indicate a field mapping issue. Contact August Schools support with the specific field(s) affected.
Writeback Not Working
If health conditions or allergy data are not appearing in the Veracross Medical Alert or Allergies fields after being entered in August Schools:
Confirm writeback has been enabled for your instance. Writeback must be explicitly turned on — it is not active by default. Contact [email protected] to confirm your writeback configuration.
Verify the required API scope (
academics.student_alerts:update) is still active in Veracross. API scopes can be accidentally removed during Veracross updates or admin changes.Confirm the condition or allergy in question is one of the qualifying writeback types: Asthma, Diabetes, Seizure disorders, or Life-threatening allergies. Other conditions are not currently written back to Veracross.
Allow for the next scheduled sync to run after making any changes. Writeback does not happen in real time — it runs on the sync schedule.
If writeback was working and has stopped, check whether the Veracross API credentials used by August Schools are still valid. Contact August Schools support if you suspect a credential issue.
Photo Sync Not Working
Confirm your Veracross administrator has enabled the
List: Person PhotosAPI scope. Photo sync cannot function without this scope active.Confirm that photo sync has been turned on for your August Schools instance by the August team. If you are unsure, contact [email protected].
Check that the students in question have photos uploaded in Veracross. If no photo exists in Veracross, none will sync to August.
After confirming the above, wait for the next nightly sync. Photos are synced on the same schedule as student data.
Checking Sync Status
If you have Sysadmin access in August Schools, you can view sync activity:
Navigate to Settings > Integrations (or your instance's sync configuration page).
Review the sync log to see the timestamp of the last successful sync and any errors recorded.
If the last sync timestamp is more than 24 hours ago or shows an error, contact August Schools support to investigate.
Sync Has Stopped Working for Multiple Students
If many students are missing or the sync appears to have stopped entirely:
Check whether there has been a recent update or configuration change to your Veracross instance. Changes to API credentials, school structure, or division configuration can break the sync connection.
Verify that the Veracross API credentials used by August Schools have not expired or been revoked. Your Veracross administrator can confirm whether the API application is still active and authorized.
Check whether your Veracross API scopes have changed. A Veracross system update or admin change can sometimes remove previously enabled scopes.
Contact August Schools support as soon as possible. Provide the date the issue started and whether any changes were made to Veracross around that time — this will significantly speed up diagnosis.
Requesting a Manual Sync
If you need student data updated sooner than the next scheduled nightly sync, contact August Schools support to request a manual sync. Please include:
The name(s) or Veracross person ID(s) of the affected students
A description of what data needs to be refreshed (enrollment, contacts, demographics)
Confirmation that the data is correct and up to date in Veracross
