August Schools integrates with Blackbaud to sync student rosters, demographic data, and health information. This guide covers the most common sync issues and how to resolve them.
For setup instructions, see Initiating Blackbaud Sync. For information on bi-directional allergy and condition sync, see Bi-Directional Sync with Blackbaud.
A Student Is Not Appearing in August Schools
A newly enrolled student isn't showing up
Student data syncs from Blackbaud on a scheduled basis. If a student was recently added, they may not yet have appeared in August Schools.
Wait for the next scheduled sync. August Schools syncs with Blackbaud on a nightly basis by default.
Confirm the student is fully enrolled and active in Blackbaud. Students in a prospective, applicant, or inactive enrollment status may be excluded from the sync.
Check that the student belongs to a school or grade level included in your August Schools sync configuration. Students in programs or schools outside the sync scope will not appear.
If the student has not appeared after 24 hours, contact August Schools support with the student's name and Blackbaud ID.
An existing student has disappeared or become inactive
Check the student's enrollment status in Blackbaud. If a student has been withdrawn, graduated, or made inactive, August Schools will reflect that change after the next sync.
In August Schools, check the Inactive Students view — the student may have been automatically archived following a status change in Blackbaud.
If the student should still be active, update their status in Blackbaud first, then wait for the next sync or contact support to request a manual refresh.
Student Data Is Incorrect or Outdated
Always update student information in Blackbaud first — demographic data in August Schools is read from Blackbaud and will be overwritten on the next sync if edited directly in August.
After updating Blackbaud, wait for the next nightly sync or contact support to request a manual data refresh.
If data appears consistently wrong or stale despite Blackbaud being correct, this may indicate a field mapping issue. Contact August Schools support with the specific field(s) affected.
Sync Connection Issues
The sync stopped working after a credential or password change
The Blackbaud sync uses the credentials of the user who authorized the connection. If that user's Blackbaud password has changed, their account has been deactivated, or their SKY API Data Sync role has been removed, the sync will break.
A Sysadmin in August Schools should navigate to Settings > Instance Settings > SIS Settings and re-authorize the Blackbaud connection by toggling the sync off and back on and logging in with valid Blackbaud credentials.
Confirm the user re-authorizing the connection has the SKY API Data Sync role in Blackbaud. Without this role, the authorization will fail.
If you are also using bi-directional allergy/condition sync, the re-authorizing user will also need the Nurse role in Blackbaud.
Sync has stopped for many students at once
Check whether there has been a recent Blackbaud update, school year rollover, or configuration change. School year transitions in Blackbaud commonly affect sync behavior.
Verify the authorized Blackbaud user's account is still active and their SKY API Data Sync role is intact.
Contact August Schools support as soon as possible. Provide the date the issue started and whether any changes were made to Blackbaud around that time.
Bi-Directional Sync Not Working
If allergies or conditions entered in August Schools are not appearing in Blackbaud's Nurse's Office:
Confirm bi-directional sync has been enabled for your instance — it requires a separate setup process and is not active by default. Contact [email protected] if you are unsure.
Confirm the Nurse's Office module is enabled in Blackbaud. Bi-directional sync requires this module to be active.
Check whether the allergy or condition is using "Other" as the type. "Other" records cannot sync to Blackbaud — the allergen or condition must be mapped to a named option. For example, change "Other (Tahini)" to "Sesame" so it matches a Blackbaud-recognized option.
Confirm the condition or allergy type is in scope for your sync configuration. Depending on your setup, only specific condition types (e.g., those from Blackbaud's Nurse's Office list, or specific condition categories) may be included.
Allow for the next scheduled sync to run — bi-directional sync does not happen in real time.
Checking Sync Status
If you have Sysadmin access in August Schools, you can view sync activity:
Navigate to Settings > Instance Settings > SIS Settings.
Review the sync status and timestamp of the last successful sync.
If the last sync is more than 24 hours ago or shows an error, contact August Schools support to investigate.
Requesting a Manual Sync
If you need student data updated sooner than the next scheduled nightly sync, contact August Schools support to request a manual sync. Please include:
The name(s) or Blackbaud ID(s) of the affected students
A description of what data needs to be refreshed
Confirmation that the data is correct and up to date in Blackbaud
