If you're having trouble locating a student in August Schools, this guide walks through the most common causes and how to resolve them.
Search Tips
Before investigating further, try these search adjustments:
Check your spelling. The student roster in August Schools is populated from your Student Information System. Search using the name as it appears in your SIS, which may differ from a preferred name or nickname.
Search by last name only. Partial name searches can sometimes miss results. Try entering just the last name to broaden the search.
Check your active filters. If you have a grade, section, or group filter applied to your roster view, it may be hiding the student. Clear all filters and search again.
Check your global filter. If a global filter is applied to your August Schools instance (e.g., scoped to a specific school within a district), students outside that scope will not appear. Navigate to your filter settings to confirm or clear the global filter. See How to Set a Global Filter.
The Student May Be Inactive or Archived
By default, August Schools displays only active students. If a student has been withdrawn, transferred, or graduated, they are moved to an inactive state and will not appear in standard searches.
Navigate to the Student Roster and look for an option to include or show Inactive Students. Enabling this will surface archived student records.
If you find the student in the inactive list and they should be active, check their enrollment status in your SIS first. If they are active in the SIS, the discrepancy may be caused by a sync issue — see the section below.
If the student was manually archived in August Schools, a Sysadmin can reactivate them via Settings > Student Reactivation.
The Student May Be Outside Your Scope
Your role in August Schools may be scoped to a specific set of students — for example, a grade level, section, or building. If a student is outside your assigned scope, they will not appear in your roster view even if they are active in the system.
Ask a colleague with broader access (such as a Sysadmin or nurse covering the full school) to search for the student. If they can find the student, the issue is your role scope rather than the student's status.
Contact your August Schools Sysadmin to review and adjust your role scope if needed.
The Student May Not Have Synced Yet
If a student was recently enrolled in your SIS (Blackbaud, PowerSchool, Veracross, or another system), they may not yet have synced to August Schools.
Confirm the student is fully enrolled and active in your SIS — not in a pending, applicant, or pre-enrollment status.
August Schools syncs with most SIS platforms on a nightly schedule. If the student was added to your SIS today, they may appear in August Schools after the next overnight sync.
If the student was enrolled in the SIS more than 24 hours ago and is still not appearing, contact August Schools support to investigate the sync. Provide the student's name and SIS ID.
Beginning of School Year
At the start of a new school year, student rosters are updated via SIS sync. If students from the prior year appear to be missing or new students haven't appeared yet:
Confirm your SIS has been updated with current-year enrollment data and that the new school year term is active.
Allow the nightly sync to run. Large-scale roster updates (such as a new school year) can take one to two sync cycles to fully propagate.
If students from the prior year are still visible when they shouldn't be, check whether they have been withdrawn or graduated in your SIS — August Schools will archive them automatically on the next sync.
The Student Doesn't Exist in the SIS
If the student is new, a staff or faculty member (rather than a student), or otherwise not in the SIS:
Students must be added to your SIS before they will appear in August Schools. There is no way to manually create a student record in August Schools that bypasses the SIS sync.
