Troubleshooting Screening Issues

Help for staff experiencing problems with health screenings in August Schools — including missing students, results not saving, re-screen workflow issues, and exporting screening data.

This guide covers common problems when running health screenings in August Schools — including vision, hearing, BMI, scoliosis, and other screening types. For a walkthrough of the full screening workflow, see Screening Students.


Students Are Missing from the Screening List

If students you expect to screen aren't appearing:

  • Check your filters. The screening list may be filtered by grade, section, or group. Clear all filters to see all eligible students.

  • Check your global filter. If a global filter is applied to your instance (e.g., scoped to a specific building or grade band), students outside that scope will not appear. See How to Set a Global Filter.

  • Check the student's active status. Students who are not active will not appear in screening lists. If a student was recently enrolled, confirm they have synced from your SIS. See Why Can't I Find This Student?


Can't Find the Right Screening Type

If the screening type you need (e.g., a state-specific vision or hearing form) doesn't appear as an option:

  • Confirm the screening type is enabled for your instance. Screening templates are configured at the account level — not all screening types are available by default.

  • Contact August Schools support to request that a specific screening type or state-mandated form be enabled for your school.

  • If you need a custom screening template, contact [email protected] — custom templates can be configured for your instance.


Screening Results Not Appearing on the Student Card

If you entered screening results but they aren't showing on the student's health record:

  1. Confirm the screening was done.

  2. Refresh the student card page. There may be a brief delay between saving and display.

  3. Navigate directly to the student's card and look under the Screenings tab (not the Encounters tab) — screening results are stored separately from clinical encounters.

  4. If results are still missing after a refresh, contact August Schools support with the student name and date of the screening.


Re-Screen Workflow Issues

I marked a student for re-screen but can't find them in the re-screen list

  1. Navigate to the all screening module and look for a Re-Screen or Referred filter. Students marked for re-screen may be in a separate view from the initial screening list.

  2. Confirm the student's result was marked as "Re-Screen" or "Referred" — if it was marked as Pass or Fail, they will not appear in the re-screen queue.

  3. Check any date filters applied to the screening list — a date range that doesn't include the original screening date may hide the student.

I need to change a result from Pass to Re-Screen (or vice versa)

  1. Locate the student's screening record in the Screenings tab on their student card.

  2. Open the screening record and edit the result. If the record is locked, contact a Sysadmin — they can unlock closed screening records.

  3. Select the correct bubble filter to the updated result.


Screening Encounter Is Locked and I Can't Edit It

Screening encounters may be locked after they are closed to protect the integrity of the data.

  • If you need to correct a result after locking, contact a user with Sysadmin or Manager access — they can reopen or unlock the screening record.

  • Contact August Schools support if no administrator is available to unlock the record.


Exporting Screening Data

I need to export screening results for state reporting

  1. Navigate to Reports > Queries.

  2. Build a query filtered by screening type and date range. You can filter by specific screening categories (vision, hearing, BMI, etc.) and by result (Pass, Fail, Re-Screen, Referred).

  3. Run the query and export the results as a CSV for use in state reporting systems.

My screening export is missing students or showing unexpected results

  1. Check the date range and screening type filters in your query — overly narrow filters are the most common cause of missing records.

  2. Confirm that the students in question had their screening results fully saved and closed (not left in a draft/open state).

  3. If the export continues to produce unexpected results, contact August Schools support with a description of what you're trying to export and what's coming back.


BMI Calculations Are Incorrect or Missing

August Schools auto-calculates BMI based on height and weight entered during the screening.

  • Confirm both height and weight fields were entered correctly and using the expected units (inches/pounds or cm/kg depending on your instance configuration).

  • BMI is calculated at the time of saving — if you edit height or weight after initial save, re-save the record to trigger a recalculation.

  • If BMI is consistently not calculating, contact August Schools support — your instance's unit configuration may need to be reviewed.
