Overview
When a family submits a student's medications through the enrollment packet, they land on the student's profile as Home medications — but they're not ready to administer yet. Before your health office can give a dose at school, someone needs to review the medication, set up its schedule (timed dose or PRN), and record how much is on hand.
This article walks practitioners through approving medications from enrollment, converting them to timed-dose or PRN school medications, adding inventory, and administering them from your daily dashboard.
Part 1: Approve medications from the enrollment packet
Open the student's enrollment packet and review the medications the family submitted.
Click Approve on each medication you want added to the student's profile.
Approved medications now appear on the student's profile, listed as Home. Medications default to Home because they don't yet have an administration time or a PRN designation — you'll add that next.
Part 2: Set up a timed-dose medication
From the student's profile, click into the medication you want to configure (e.g., "Vyvanse 20mg capsule").
Click Edit.
Select Timed Dose.
(Optional) Set a Dosage Start Date — for example, if the medication shouldn't begin until the following week.
Enter the Quantity (e.g., 1 tablet).
Choose the Time the dose should be given (e.g., Afternoon for a noon dose).
💡 Tip: You won't see an inventory field here. Inventory is set up separately, right after you save — see Part 4 below.
Click Save.
Part 3: Set up a PRN (as-needed) medication
Click into the medication (e.g., a Epi-pen).
Click Edit.
Select PRN (As Needed).
(Optional) Set a Dosage Start Date and End Date.
Enter the Quantity as the base dose — the starting amount (e.g., 2 puffs).
💡 Tip: If a dose can be titrated, always enter the lowest (base) dose in the Quantity field, then use Frequency or Notes to spell out the full range the order allows (e.g., "2–4 puffs as needed").
Use Notes to add context for when the medication should be given (e.g., "for recess or PE, allergy, as needed per order").
Click Save.
Part 4: Add medication inventory
Once you save a Home medication as a School medication (timed dose or PRN), you'll be prompted to activate it and to set up its inventory:
Enter the quantity on hand (e.g., 30 pills, or the number of Epi-pens)
Mark the medication as Active.
Click Confirm.
This creates an inventory record for the medication, which you can update anytime from the student's profile.
