What is Scheduled Support?

Schedules is a set of features in the August Schools platform that allow users to schedule, manage, and transact on recurring interventions. The platform already allows users to document different interventions, like with the Encounter feature, for example. However, before Schedules, the documentation for each intervention needed to be manually generated by the user to fill out, even if the intervention occurred on a known, regular cadence.

Now, the user can create scheduled support, which is a schedule that the platform will then use to create scheduled items for the user to facilitate the documentation process. Scheduled support also refers to the scheduled items themselves. A scheduled item represents each incidence of a recurring intervention, such as one meeting with a student that is scheduled to take place every school day of the week for the entire year. A scheduled item, at this time, can hold the encounter that the user will use for documentation.

A scheduled item also has its own statuses that show how the user acted upon it, which is also important for documentation. The statuses are:

  • Close: Marking close indicates the scheduled item has taken place, and that the underlying encounter should be marked as closed.

  • No-Show: Marking no-show indicates the scheduled item was planned but did not actually take place, and that the underlying encounter should be marked as no-show.

  • Cancelled: Marking cancelled indicates the scheduled item deliberately did not take place, and that the underlying encounter should be marked as cancelled.

The button for each status is shown below in the above order from left to right:

For example, a nurse can create a schedule for a student titled 'G-tube feeding' if the student has known, regular cadence of coming to the clinic for gastronomy tube feeding. The nurse can select the Tube feeding encounter type at this time to be used for documentation. The nurse can mark each scheduled item as closed when the nurse feeds the student via gastronomy tube. The platform will prompt the nurse to then document any additional information on the feeding on the Tube feeding encounter that is on the scheduled item before the encounter documented on is closed.

The Schedules feature can be found on the following pages:

  • the Scheduled items page

  • the List page

  • the Upcoming scheduled items board widget

  • the Scheduled support Student card tab

Scheduled items page

The Scheduled items page shows you the list of all scheduled items for the students within your scope. It is a useful view of all the incidences of recurring interventions scheduled in the platform for your students. You can take action on these scheduled items from this page as well.

List page

The List page shows you all the schedules created in the platform for the students within your scope. It conveniently allows you to edit and archive schedules for all students within your scope in one place. You can take action on these scheduled items from this page as well by clicking on the row for the appropriate schedule.

Upcoming scheduled items

The Upcoming scheduled items Board widget shows you the list of all scheduled items for the students within your scope that:

  • are taking place today, and

  • are assigned to you to take action on.

You can take action on these scheduled items from this widget as well.

Schedule support (Student card tab)

The Scheduled support Student card tab shows you all the schedules created in the platform for the specific student. It conveniently allows you to edit and archive schedules for this student. You can take action on these scheduled items from this tab as well by clicking on the row for the appropriate schedule.
