Substitute Nurse Quick-Start Guide

Are you a substitute nurse at a school that uses August Schools? This article aims to train you on how to use the platform!

Accessing Student Card

All of the most important information about a student can be found on the student's card: from emergency contacts to health information like chronic conditions, allergies, and medications.

All basic demographics are synced from the Student Information System (SIS).

  • Demographics

  • Key school information
    The student's grade level, campus, division, and/or dorm will be listed in this demographics section!

  • Home contacts
    This tab will display all parents, guardians, and emergency contacts for the student.

  • Medications
    This tab will show the medications on file for the student. In the Administer type column, you will see if this is a medication in the school clinic or a home medication.

  • Conditions & Allergies
    All allergies and conditions on file for the student can be found here.

  • Immunizations
    The student's immunization compliance and full immunization grid can be found under this tab.

  • Healthcare providers
    Outside providers for the student can be found here.

  • Action plans
    Any action plans on file for the student can be found in this tab.

  • Encounter history
    This will show the history of the student's encounters in the health clinic.

  • Documents
    All documents submitted via enrollment or manually uploaded to the student's card are visible here.


Administering Medications

  1. Click on the Medications tab on the left side

  2. Select your student from the list of scheduled medications.

    1. Hint: If your student is not on the first page of the Administration's list, please use the filter funnel to access your student

  3. Click on the appropriate option to administer (left) or skip (right) the medication

    1. Doing so will open a pop-up window to enter additional information on this administration of the medication.

      1. The information on the left is displayed for reference from the corresponding student medication record on the Student Card.

      2. The field on the right are available for you to adjust to capture changes from the ordered/scheduled details of the administration.

  4. To adjust the time of the administration, click into the Time field and either:

    1. select the time and click "OK" to save, or

    2. click "Now" to choose the current time.

  5. If you administered a different form of the medication than ordered, adjust the Administered form field.

  6. If you administered the medication via a different route than ordered, adjust the Administered route field.

  7. Specify the quantity of the medication you administered in the Quantity field.

  8. Specify the unit of the quantity of the medication you administered in the Unit of quantity field.

  9. Watch the "Remaining inventory" automatically adjust the quantity on hand based on the quantity administered that you specified in the Quantity field.

  10. Optional: enter a note regarding this administration.

  11. Click the Confirm button to save the medication administration

Charting Encounters

  1. Click on the Encounters tab located on the left rail

  2. Hover over the blue Open new encounter and select your appropriate Encounter type from the dropdown list.


  3. Type the student name in the Subject line and select from the list provided.

  4. Enter your Chief complaint(s) from the type to search field, tree selection

  5. Type your narrative into the Summary field.

  6. Optional: You can add additional forms to your notes/clinic visit by clicking on the Add form to note link.

  7. Enter treatment(s) to the type to search, tree selection Treatment field.

  8. Click in the Disposition field and select from the list provided.

  9. Optional: You can enter any additional details for the disposition into the Disposition details field.

  10. To complete, close the ticket by clicking on the Shield icon in the upper right corner (it will turn purple when closed)

Scheduled Support

When the user navigates to the Scheduled items page under the Scheduled feature set, the user will see all scheduled items for students in their scope.

The button for each status is shown below in the above order from left to right (you can also find this by hovering over the status):

  • Close: Marking close indicates the scheduled item has taken place, and that the underlying encounter should be marked as closed.

  • No-Show: Marking a no-show indicates the scheduled item was planned but did not actually take place, and that the underlying encounter should be marked as a no-show.

  • Cancelled: Marking canceled indicates the scheduled item deliberately did not take place, and that the underlying encounter should be marked as canceled.

Selecting the Closed button on a scheduled item will produce a pop-up window that contains the form for the encounter used for the schedule.

Enter the details in the form fields as appropriate, then select the Confirm button to save the details to the attached encounter form and mark the scheduled item as closed. The attached encounters status will be updated to Closed as well.

Selecting the No-show button on a scheduled item will update its status to No-show and update the status of the attached encounter to No-show as well.
