Actioning on Scheduled Items

An article on scheduled support statues and how to action on a scheduled item.

Once a schedule has been created, the assignees need to take action on the scheduled events. A scheduled item also has its own statuses that show how the user acted upon it, and these statuses correspond repurpose a few of the Encounter statuses with which you may already be familiar! The statuses are:

  • Close: Marking close indicates the scheduled item has taken place, and that the underlying encounter should be marked as closed.

  • No-Show: Marking no-show indicates the scheduled item was planned but did not actually take place, and that the underlying encounter should be marked as no-show.

  • Cancelled: Marking cancelled indicates the scheduled item deliberately did not take place, and that the underlying encounter should be marked as cancelled.

The button for each status is shown below in the above order from left to right:

Selecting the Closed button on a scheduled item will produce a pop-up window that contains the form for the encounter used for the schedule.

Enter the details in the form fields as appropriate, then select the Confirm button to save the details to the attached encounter form and mark the scheduled item as closed. The attached encounters status will be updated to Closed as well.

Selecting the No-show button on a scheduled item will update its status to No-show and update the status of the attached encounter to No-show as well.

Selecting the Cancelled button on a scheduled item will produce a pop-up window that prompts you to enter a reason for the cancellation. Enter the reason in the Reason field.

Selecting the Confirm button will then update the status of the scheduled item to Cancelled and update the status of the attached encounter to Cancelled as well.

Scheduled items live in three different places with different visibility.

Scheduled items page

When the user navigates to the Scheduled items page under the Scheduled feature set, the user will see all scheduled items for students in their scope.

When the user navigates to the Board page and scrolls down to the Upcoming scheduled items widget, the user will see all scheduled items:

  • To which the user is assigned, and

  • That are scheduled for today.

"Scheduled support" tab on the Student card

When the user opens a Student card and selects the Scheduled support tab, the user will see all scheduled support for the student. Clicking the row for the appropriate scheduled support will show all its scheduled items.

Filtering schedule items

When the user views the list of Scheduled items, there are three filters that allow them to see subsets of the items:

  • Today: shows the Scheduled items that taking place today.

  • Past: shows the Scheduled items that took place prior to this date and time

  • Future: shows the Scheduled items that will take place after this date and time
