The August Schools Internal Referral feature provides an additional, more secure communication method between faculty portal users and platform users. Faculty portal users (e.g., teachers, nurses, coaches) can initiate an internal referral for a specific student from the August Schools portal to be received, and treated as an encounter by, a designated platform user (e.g., nurse, counselor, athletic trainer). Users with the Sysadmin role can designate which faculty portal users can send an internal referral as well as to which platform users and with which encounter templates to send the internal referral. When a platform user receives an internal referral, the platform user can either accept or reject the internal referral and take further action on the encounter generated for the internal referral. In this way, schools and districts can define which groups of faculty should be sharing potentially sensitive student information through the August Schools system for subsequent followup.
This articles walks sysadmin users through the process of setting up internal referrals for the appropriate faculty portal user and platform user combinations.
Step One: Navigate to the 'Internal Referral Configuration' tab of the Settings > Instance Settings page.
Step Two: Select the '+ Add new' button.
Step Three: Complete the fields in the pop-up window and select 'Confirm' when finished.
In the 'Title' field, give this configuration an appropriate title for your internal reference purposes only.
In the 'Person roles' field, select which faculty portal users (also known as 'Persons') should be able to initiate this internal referral.
In the 'User role' field, select which platform users should receive this internal referral.
In the 'Encounter template' field, select which encounter(s) the faculty portal users should be able to use for the referral.
Note: Please be sure to select an encounter template that is visible to the User roles. This visibility is denoted by the tree-select in the 'Encounter template' field, such that the encounters under 'Nursing' are visible to the 'Nurse' role!
Once you have created the internal referral configuration, it will appear under the 'Current' tab.
To archive a configuration, select the 'Archive' hyperlink and follow the prompts.
You will then find the archived configuration by selecting the 'Archived' tab.
Likewise, to edit an existing internal referral configuration, select the edit button and update the pop-up window referenced in Step Three above.
Note: If you create a configuration and it does not appear in the list, please first check the 'Archived' tab to see if an identical configuration exists. The platform will not allow you create more than one identical configuration.
