How to Send an Internal Referral from the Portal

The August Schools Internal Referral feature provides an additional, more secure communication method between faculty portal users and platform users. Faculty portal users (e.g., teachers, nurses, coaches) can initiate an internal referral for a specific student from the August Schools portal to be received, and treated as an encounter by, a designated platform user (e.g., nurse, counselor, athletic trainer). Users with the Sysadmin role can designate which faculty portal users can send an internal referral as well as to which platform users and with which encounter templates to send the internal referral. When a platform user receives an internal referral, the platform user can either accept or reject the internal referral and take further action on the encounter generated for the internal referral. In this way, schools and districts can define which groups of faculty should be sharing potentially sensitive student information through the August Schools system for subsequent followup.

This articles walks faculty portal users through the process of sending an internal referral for a student to the appropriate platform user.

Step One: Open the profile for your student in the Portal.

Depending on your role, you will access your student's profile first by selecting either the 'Roster' title or 'Athletics' tile.

If you select the 'Roster' tile, you will first see a list of students from which to select your desired student.

If you select the 'Athletics' tile, you will first select the athletics section in which your student is.

And then select the student from the list.

Step Two: Select the 'Internal referral' button.

Step Three: Select the role of individuals at your school/district who should see the internal referral in the 'Role' field.

  • Note: It is not possible at this time to specify a specific individual to receive the internal referral.

By doing so, a new 'Reason for the referral' field will appear.

Step Four: Select the most appropriate item that describes your referral in the 'Reason for the referral' field.

  • The options in this dropdown menu are actually the titles of different notes (formerly known as 'Encounters' in the August Schools platform) that platform users use to document and categorize their support for students.

  • There may only be one note available for you to choose in this dropdown menu, which is fine! Simply provide as much information as possible in the 'Note' field.

Step Five: Describe the details of your internal referral in the 'Note' field and then select 'Confirm.'

In the above example, the user has submitted an internal referral to the Athletic Trainers at their school for Jackson to visit them in the clinic after experiencing a fall.

Once you have submitted your internal referral, you will see a notification on the student's profile stating that it is awaiting action by the appropriate user(s). The notification will disappear once your referral is actioned on.
