Overview
The Medication Administration page allows school health staff to efficiently manage daily medication tasks with clear documentation and flexible tools. Three key components—status options, advanced filtering, and bulk update actions—work together to support accurate, timely med administration across both routine days and special situations such as field trips or school closures.
Medication administration statuses
Medication administrations can be recorded using several status types:
Administered – Medication was given at the documented time.
Skipped – Medication was intentionally not given (e.g., student absent, holiday, refused).
Dispensed – Medication was prepared or packaged to be administered later by another staff member or chaperone.
Undo – Allows correction if a status was selected in error.
When to use “Dispensed”
The Dispensed status is ideal for scenarios where medication is handed off rather than administered immediately. For example, when preparing medications to be sent with a class on a field trip. This helps maintain accurate records and distinguishes preparation from administration.
Filtering medication administrations
Selecting the filter bubble opens a left-hand panel where you can refine the medication administration list. This helps you quickly locate specific records or review trends.
You can filter by:
Student – View all administrations associated with a particular student.
Medication – Narrow the list to a single medication type.
Date Range – Review administrations within specific dates (e.g., November 1st-November 30th).
Status – Focus on administered, skipped, or non-actioned items.
Administered / Skipped By – Identify med administrations made by a specific clinician.
Note: MARs are only generated two weeks into the future, so the list will only show future medication administration records within that two-week window.
Using bulk actions
Bulk actions allow you to update multiple medication administrations at once. This is especially helpful for tasks such as preparing medications for a trip or marking a group of meds as skipped during a school closure.
Selecting multiple medication administrations
Use the filter panel to narrow the list if needed (recommended).
Click the top checkbox to select all items on the current page.
To select all items across all pages, hover over the caret next to the checkbox and choose Select all pages.
Confirm the number of selected items in the header before continuing.
Applying a bulk update
After selecting the administrations to update:
Click Bulk update.
Choose a status:
Dispensed
Skipped
Administered
Add date/time details when required (e.g., dispense time).
(Optional) Add a note to provide context, such as:
“Prepared for Class of 2026 field trip.”
“Skipped due to Thanksgiving break.”
Click Update to apply the action to all selected administrations.
Examples
Preparing medications for a field trip
Filter by Next week and then by Class of 2026 (or another group).
Select all matching administrations.
Use Bulk update → Set status: Dispensed.
Enter the dispense time and add a note (e.g., “Class of 2026 DC field trip”).
Update all selected items.
Skipping medications for a school closure
Filter to the affected date range.
Select all administrations.
Use Bulk update → Set status: Skipped.
Add a clarifying note (e.g., “School closed—holiday.”).
Update all selected items.
Tips for efficient workflows
Filter first, update second to ensure accuracy.
Use notes to improve clarity for other staff and any future audits.
Review the selected count before submitting a bulk update.
Use “Dispensed” for preparation, not immediate administration.
