Overview
Automated reminders help keep packets moving without any manual follow-up from your staff. But they're not sent for every packet: only certain form statuses will trigger an alert. Knowing this distinction helps you predict exactly when your families will hear from the system, and when they won't.
This article walks practitioners and admins through the rule that determines reminder eligibility.
The eligibility rule
Automated reminders are only sent for packets that have at least one form in an incomplete status. That means either:
Not submitted: the family hasn't started or finished the form yet
Follow-up incomplete: the form was submitted, but a requested follow-up hasn't been completed
If a packet has at least one form in either of these statuses, the family will receive a reminder.
When reminders won't be sent
If every form in a packet is sitting in needs review status, no reminder goes out. Since "needs review" means the family has already done their part and the packet is simply waiting on your team, there's no unexpected alert sent while your school nurse (or another reviewer) works through the queue.
This keeps families from getting confused, unnecessary notifications about something that's already in your hands, not theirs.
Quick reference
Form status | Is a reminder sent? |
Not submitted | Yes |
Follow-up incomplete | Yes |
Needs review | No |
Accepted | No |
Best practices & tips
Review promptly, but without pressure. Families won't be pinged while forms sit in "needs review," so your team can work through reviews at a sustainable pace.
Check status before troubleshooting a "missing reminder" question. If a family expects a reminder but didn't get one, confirm their packet's forms aren't all in "needs review" first.
