What can (and can't) be edited after an enrollment packet is sent

A breakdown of which enrollment packet elements can be changed after a batch has been sent to families, and what to do in each scenario.

Once an enrollment packet has been sent to families via a batch, some elements remain fully editable while others are locked to protect data integrity.

✅ What can be edited

Batch-level settings

🗓️ Due date - Can be updated at any time. If no due date is set, families can still submit after any previously set deadline.

🔔 Reminders - Automated reminders can be added, modified, or removed. Manual one-off reminders can be sent to individual families at any time. See Sending Enrollment Reminders.

🔄 Nightly refresh - Automated reminders can be added, modified, or removed. Manual one-off reminders can be sent to individual families at any time.

Packet-level settings

📄 Form questions and content - Can be updated at any time, and edits take effect immediately with a quick refresh

📋 Adding and amending Forms - Forms can be added, modified, or removed from the packet template at any time. If forms are removed from the packet, the submissions will be removed as well, but any accepted data or documents will still be present in the student's card.

⚙️ Auto-approve - The auto-approve toggle can be turned on or off per section, even after the packet is live. Changes take effect for submissions that come in after the toggle is updated. See How to Set Auto-Approve in an Enrollment Packet.

⭐️ Active / In Review designation - Which packet is marked Active or In Review can be changed at any time via Enrollment > Configure. See Updating the "Active" Enrollment Packet.

Submitted responses (admin only)

✏️ Individual form submissions - While a submission is in the review queue (before approval), admins can use the Edit Submission button to correct a parent's response. Changes are updated on the student card overnight after approval. See Enrollment Review.


❌ What cannot be edited

  • A sent batch cannot be recalled — Once a batch has been sent, it cannot be unsent. If a significant error was made, the entire batch or individual packets can be archived. For minor issues, a follow-up message or corrected individual form request can be sent to affected families.

  • Batch recipients — The student list is set at the time of sending. Students cannot be added or removed from an existing sent batch (though nightly refresh, if enabled, will auto-include newly enrolled students that meet the recipient requirements).

  • SIS-populated fields — Fields pulled from your Student Information System (name, date of birth, address, contacts) are read-only. Corrections must be made in your SIS and will sync to August on the next scheduled sync.

Copy the packet via Forms > Packets, then edit the copy. Do not edit a previous year's packet directly — this can affect historical records. See Copying a Form Packet
