How to: Close Out Enrollment for New Submissions

Turn off resubmissions so families can no longer open or add to their enrollment forms on their own.

Overview

When your team is done with enrollment, you can close it out so families who have already submitted can no longer reopen or add to their forms on their own. You do this by turning off resubmissions on the enrollment batches you sent. This does not remove anyone's access to enrollment going forward, and it does not stop you from sending follow-up requests when you need a specific answer changed.

This article walks enrollment admins through how to disable resubmissions on one or more enrollment batches.

Why close out resubmissions?

  • Locks in submitted enrollments: parents can no longer update or add to a form once they've submitted it

  • Keeps you in control: you can still send follow-up requests when an answer needs to change

  • Doesn't affect future families: new families can still receive enrollment forms as normal

  • Takes just a few clicks per batch: no need to close anything else out

How to disable resubmissions

  1. Go to Enrollment Review.

  2. Under Enrollment Review, open your Batches.

  3. Find the enrollment batch you sent.

    • 💡 Tip: Some schools send more than one batch. Be sure to repeat these steps for every enrollment batch you sent, or the ones still allowing resubmissions will stay open.

  4. Click Edit Batch.

  5. Uncheck Allow Resubmission.

  6. Click Confirm.

  7. Repeat for each remaining batch, then click Confirm on each.

What this does and doesn't do

Once Allow Resubmission is unchecked, parents can no longer update or add to their enrollment, and the option to create a new submission on the portal is removed for them.

This change only disables a parent's ability to reopen a form on their own. It does not do the following:

  • It does not prevent future families from receiving enrollment forms.

  • It does not stop you from sending follow-up requests to a parent when you need an answer changed.
