How To: Use the Enrollment Overview Page

Learn how to use the Enrollment Overview page to see enrollment progress at a glance

The Enrollment Overview page gives you a real-time snapshot of where every student stands in the enrollment process. You can instantly identify who hasn’t started, who’s in progress, and who’s fully complete.

This makes it especially powerful during peak enrollment periods, when your goal is to move families from “Not Started” to “Accepted” as efficiently as possible. It also helps teams coordinate follow-ups and prioritize outreach without guesswork.


How it works

1. Access the Enrollment Overview

  • Navigate to the Enrollment tab

  • The Enrollment Overview page will be the first screen you see


2. Understand the status breakdown

At the top of the page, you’ll see a high-level summary of all enrollment packets you’ve sent, grouped into four statuses:

  • Not Started
    Parents have not opened or begun any forms

  • In Progress
    Parents have started filling out at least one form or submitted part of the packet

  • Fully Submitted
    All forms in the packet have been submitted

  • Accepted
    All submitted forms have been reviewed and accepted

💡 These categories are mutually exclusive, meaning every packet falls into exactly one bucket, and together they add up to your total enrollments.


3. Track progress visually

The page is designed to show progression over time:

  • You’ll start with everyone in the Not Started section

  • As families complete forms, activity shifts to In Progress and Fully Submitted

  • The goal is to end with everyone in the Accepted section

This makes it easy to quickly assess overall completion.


4. Toggle between views

Use the toggle at the top of the page to switch between:

  • Overall view
    Displays aggregate data across all students

  • By grade view
    Breaks down enrollment progress by grade level

This is especially helpful for spotting trends, such as:

  • Grades that are ahead or behind

  • Where to focus follow-up efforts


5. Export enrollment data

To download a detailed report:

  1. Click Export

  2. A CSV file will generate and download

The export includes:

  • Student name and grade

  • Enrollment status

  • Number of completed forms

  • Parent contact information (email & phone)

  • Open follow-up

💡 This is particularly useful at the end of enrollment when you need to:

  • Identify outstanding families

  • Delegate outreach to staff

  • Track follow-up progress externally


6. Drill into specific statuses

You can click directly on any status section (e.g., Fully Submitted, In Progress) to take action:

  • Clicking a section of the bar chart will bring you to the Enrollment Review page

  • The list will already be filtered by that status

Example:

  • Click Fully Submitted → instantly start reviewing completed packets

  • Click In Progress → focus on families who may need nudges


Tips & best practices

  • Export regularly during peak periods to coordinate team outreach

  • Prioritize “In Progress” families—they’re the easiest to convert to completion

  • Leverage filtering shortcuts by clicking into status bars instead of manually setting filters
