Using Immunization Scanner on Enrollment Submissions

This article will walk you through the ingestion of immunization records through the Robonurse from enrollment/registration.

When parents or guardians upload immunization records through the August Schools enrollment portal, the immunization scanner does not automatically scan and read the dates. This article walks through how to scan the records uploaded.

Initiating Robo-Nurse Immunization Scanner

  1. After immunization records have have been accepted and imported to the student's card, the document will be attached to the student's record but it has not been scanned for dates.

  2. Click on the student's name (in blue) to open their student card.

  3. Open the Immunizations tab.

  4. Click "Edit Immunization Grid" button.

  5. Open the Documents tab.

  6. Click "Initiate Import."

  7. The importing process will begin. You can continue to use the system for other tasks while this is importing. To see the import status, navigate to the Immunizations page and select "Import immunization records."

Reviewing Scanned Document

  1. Once it has been imported, you will be required to review the scanned dates. Once the file has completed importing, click on the file name itself to verify the import.

  2. Click on the student's name to verify the vaccination records.

  3. The details page provides a link to the source file, the detected vaccination records and any related text.

  4. By clicking on the Source file, you will see vaccines and their associated dates that have been recognized and highlighted in matching colors. This color-coded identification facilitates a faster verification process within the Detected records.

  5. By clicking on Detected records, you will see the vaccines that have been identified, with their corresponding color-coded shot records.

  6. You may add or adjust a shot record by clicking on the date associated. the system will prompt you with all of the dates it has identified, as well as the opportunity to enter a new one by clicking on "select" within the pop-up list, then clicking on the calendar icon next to the date field.

  7. Once you have verified/adjusted the dates, you will need to approve the document by clicking on the Approve document button in the upper right-hand corner.

  8. All scanned vaccination dates are saved to the student's record in August!
