How to Edit The Default Notes of an Existing Encounter Template

Encounters are how users document each incident of support in the August Schools platform. Encounters leverage encounter templates, which dictate the types of information are solicited and in what manner on the encounter. Encounter templates consist of notes, which allow the users to input the solicited information. This article outlines how users can edit the default notes for an existing encounter template, which will be made available by default for the users who create an encounter with that template.

Step One: Navigate to the Encounters > Templates page.

Step Two: Remain on the Encounters tab of the page.

Step Three: Select the row for the encounter template you wish to edit from the table.

You may also select the 'Filters' button narrow down the table by template or creator to find the template.

Once you click on the row in the table for the appropriate encounter template, the page will refresh onto an individual page for the encounter template. It will show the default note for the encounter template.

To rename the default note as it appears on the encounter templates, click into the editable field for the title and type the new name. It will look like the below once you have clicked into field.

To update additional attributes of the note, select the 'Edit overrides' button.

Doing so will open a pop-up window of fields you can edit:

  • The 'Default title' field is what default note of each encounter that is created by a user using the encounter template will be named.

  • The 'Initial status' field allows you to choose what note status the default note of each encounter created by a user using the encounter template should have upon creation.

  • The 'Default title' field allows you choose after amount of time from the initial start time of the encounter created by a user using the encounter template should the platform set the end time of the default note of the encounter.

Be sure to select the 'Confirm' button after you have made your desired changes.

To remove the current default note from the encounter template, select the 'Remove default note' button.

  • Note: Doing so will not archive the default note from any existing encounters of any status; it will open allow users to open encounters with this template that will not have this note by default.

To add an additional note as a default note on the encounter template, select the 'Add default note' button.
