How to: Bulk Tag Students Based on a Form Answer

Use a query and group to automatically tag every student who gave a specific answer on an enrollment packet form.

Overview

If you need to flag every student who answered a certain way on a form, such as a yes response to a head injury or concussion question, you don't have to tag them one by one. By building a query, turning the results into a group, and assigning a tag to that group, you can tag every matching student at once, and keep the tag current as answers change.

This article walks practitioners through creating a query based on a form answer, converting it into a group, and assigning a tag to that group.

Why use this workflow?

  • Saves time — tag many students at once instead of searching for them individually

  • Stays accurate — if a student changes their answer on the form, they're automatically removed from the group and the tag is removed too

  • Works for any question — query any data point in an enrollment packet, not just health related questions

  • Keeps records organized — tagged students show up together, like in the Nurse Tag section, so you can spot them at a glance

Steps

Part 1: Build the query

  1. Go to Reporting → Queries.

  2. Click to start a new query and select Students.

  3. Once the rules have generated, click Add Rule.

  4. Search for and select Form Requests.

  5. In the field, search for Submissions, then select Add Form Instance.

  6. Select Form Data, then search for the name of the form you want to query.

  7. Select the specific question on the form you want to query (for example, a head injury or concussion question).

  8. Set the answer you're looking for (for example, Yes).

  9. Click Save Changes. The query will generate a list of students who match, for example, every student who answered yes to that question.

Part 2: Create a group from the query

  1. At the top of your query results, click Create Group.

  2. Give the group a name.

  3. Set the visibility, choose your team, just yourself, or everyone in your August platform.

Part 3: Assign a tag to the group

  1. From the group creation screen, assign a tag.

    • (If the tag doesn't exist yet) Open a student card, create the tag there, then remove it from that student. It will now be available to assign to your group.

  2. Click Confirm. The tag is applied to every student in your group.

Once confirmed, the tag will show up wherever tags are surfaced for that student, such as the Nurse Tag section.

Best practices & tips

  • You can query any question in the packet. As long as a tag exists, you can build a group around any form answer and assign it in bulk.

  • Groups stay current automatically. If a student changes their answer on the form, they'll be removed from the group and the tag will be removed with them.

  • 💡 Tip: Create the tag ahead of time from a student card so it's ready to select when you build your group.
