Building enrollment packets that are streamlined, relevant, and easy for families to complete is critical to a smooth back-to-school season. Simple Supplemental Request Rules allow you to show forms only for the students who actually need them—without building complex queries.
You can quickly create rules based on:
Graduation Year (recommended for grade-based forms)
Form Responses (show a form based on how a parent answered a previous question)
For more complex scenarios, Advanced (query-based) rules are still available, but most common use cases can now be handled in just a few clicks.
Why use supplemental request rules?
Not every form applies to every student. Supplemental Request Rules help you:
Reduce unnecessary forms for families
Prevent confusion and incomplete submissions
Keep packets clean and grade-specific
Automate logic based on various student data
How to create a supplemental request rule
Step 1: Mark the form as supplemental
Navigate to your enrollment packet.
Locate the form you only want certain students to receive.
Toggle “Supplemental” on.
Once toggled, you’ll see a warning indicator reminding you that a rule has not yet been created.
Option 1: Create a rule based on Graduation Year (recommended for grade-based forms)
Using graduation year is more reliable than grade level because schools transition grades at different times during the year. Graduation year remains consistent.
Example: Show a form only to 8th graders
Toggle the form to Supplemental.
Select Create Rule.
Choose Graduation Year.
Select the appropriate graduation year (e.g., 2031).
Click Save.
Once saved:
The warning icon disappears.
Only students with that graduation year will receive the form.
💡 Tip
Always use Graduation Year instead of Grade Level for the most consistent results.
Option 2: Create a rule based on a form response
This is perfect for when a form should only appear if a parent answers a question a certain way earlier in the packet.
Example: Show Diabetes Action Plan only if parent selects “Yes”
Toggle the form to Supplemental.
Click Create Rule.
Select Form Response.
Choose the form containing the trigger question (e.g., General Health Form).
Select the specific field (e.g., “Does the student have diabetes?”).
Choose the triggering response (e.g., Yes).
Click Save.
Now, only students whose parents selected “Yes” will receive that supplemental form.
Using multiple rules (AND logic)
You can apply both Graduation Year and Form Response rules to the same form.
For example:
Show a form only if the student is a 9th grader AND
The parent answered “Yes” to a specific health question.
When both rules are toggled on students must meet both criteria to receive the form.
Viewing and managing your rules
To see all supplemental request rules:
Navigate to Supplemental Request Rules.
View the full list of rules you’ve created.
Edit or adjust as needed.
This gives you a centralized place to manage packet logic.
When to use advanced (query-based) rules
While Simple rules handle most common use cases, you may still need Advanced rules when:
You need multiple complex conditions
You are filtering based on data beyond grad year or a single form response
You require custom logic beyond standard AND rules
To use Advanced rules:
Select Add Rule.
Choose Advanced.
Build your query using the existing query builder interface.
Advanced rules function the same way as previous supplemental request rule workflows. Please don't hesitate to reach out to [email protected] with any questions about Advanced supplemental request rules.
