How to: Archive an Enrollment Packet for a Non-Returning Student

Remove enrollment packet requests for students who won't be returning, whether they clear automatically or require manual archiving.

Overview

When a family isn't returning to your school, their enrollment packet request doesn't need to stay on your list. Packets can't be retracted once they've been sent to a family, but they can be archived so they no longer show up as outstanding.

This article walks admins through how enrollment packets are archived automatically when a student's record goes inactive in your student information system, and how to archive a packet manually if that hasn't happened yet.

Why use archiving?

  • Keeps your enrollment packet list accurate — remove packets for families who aren't coming back

  • Works automatically in most cases — inactive student information system records are archived from the packet on their own

  • Gives you a manual backup — archive an individual packet when you need it gone sooner than the automatic sync allows


How automatic removal works

When a student is marked as not returning to your school:

  1. Their record is inactivated in your student information system (i.e., Blackbaud or Veracross).

  2. August Schools picks up that change and marks the student inactive.

  3. Their enrollment packet request is removed from your enrollment list.

💡 Tip: There can be up to a one-day delay between steps 2 and 3 — the record goes inactive one day, and the enrollment packet list refreshes the next.


How to manually archive a packet

If a student's packet request is still showing up after the automatic sync should have cleared it, you can archive it directly.

  1. In the left-hand navigation, go to August → Enrollments → Review. (Clicking Enrollments on its own drops you into the Overview stats screen — make sure you continue to Review.)

  2. Click All Enrollments.

  3. Filter to find the student whose packet you want to archive.

  4. Scroll to the far right of their row.

  5. Click Archive.

  6. Confirm when prompted — archiving can't be undone.

Once confirmed, the student is removed from the enrollment packet list.


Best practices & tips

  • Give the automatic sync a day — before archiving manually, check whether the one-day refresh has already cleared the packet on its own.

  • Double-check before confirming — archiving a packet can't be undone.
